How it works

Clients join your waitlist.
We give you a waitlist link for your Instagram bio, booking page and the till. Clients only join if they agree to waitlist texts, and every text lets them reply STOP.
Someone cancels.
Within minutes, 3 matching clients get a text under your salon's name. If nobody takes it, the next 3 get one about 10 minutes later.
The chair fills.
On Wix, the first to tap gets the slot. We hold it for about 10 minutes while they confirm, and it goes straight into your diary. Wix is live now. Phorest is coming next.
On Booksy, Treatwell and other systems, the text sends your own booking link, so the first to book through your system gets it.

Can't see the cancellation? Your team taps a "slot just opened" button and Fill does the rest.

Wix's own help centre says its appointment waitlists have to be managed manually. Fill makes yours automatic.

Plenty of bots can answer a question now. Reply is built to do the part that fills chairs:

Books, moves and cancels appointments in your real diary, not just answers questions. It never promises a slot it can't book.
Fully booked? It offers to add the client to your Fill waitlist, with their separate consent, so the next cancellation goes to them.
Says it's an AI in its first message, every time, as the EU AI Act requires. Clients type "human" to reach your team.
Passes the chat to you for complaints, refunds, allergies, patch tests, scalp issues, custom quotes, requests for a specific stylist, anyone who seems under 16, or anything it's unsure about.
Doesn't collect or store health details.

We'll send you a usage report in month 3 and an email at least 7 days before the €65 rate starts, so there are no surprises.

Our 30-day promise

If it doesn't refill a chair in 30 days, you can walk away.

No slot refilled from your waitlist in your first 30 days? Cancel before day 30 and pay nothing beyond month 1. Applies if you shared your waitlist link and kept Fill on.

Cancel by email. Our booking records decide whether a slot was refilled. Minimum term: 6 months from go-live, applies from day 31. Full details in our Terms.

FAQ

Straight answers.

Is there really no setup fee?

None. We set it all up and run it for you. You pay €30 a month on Fill.

Which booking systems do you work with?

Wix is the booking system we're live on now: the slot's held and booked straight into your diary. Phorest is coming next. With Booksy, Treatwell and other systems we use link mode: the text sends your own booking link, and the first client to book gets the slot (it isn't held).

Will my clients get spammed?

No. We only text clients who've agreed to waitlist texts, every text lets them reply STOP, and they come off the list once they're booked or after about 90 days.

What if it doesn't work for my salon?

That's what the 30-day promise is for. No slot refilled from your waitlist in your first 30 days? Cancel before day 30 and pay nothing beyond month 1. Applies if you shared your waitlist link and kept Fill on.

Is there a contract?

Minimum term: 6 months from go-live, applies from day 31. If you leave early, the remaining months are €30 each, whatever plan you're on. After 6 months it's month to month with 30 days' notice.

When can I get the Instagram DM assistant?

Reply goes live once Meta approves our app. We'll tell you the date. Intro price: €30 a month, with everything in Reply, from when Reply goes live. So you lose nothing by starting on Fill now.

Meta has its own DM bot now. Why would I pay for Reply?

Answering questions is the easy bit. Reply books, moves and cancels in your real diary, and when you're full it adds the client to your waitlist so the next cancellation goes to them. That's the part that puts someone in the chair.

Will clients know they're talking to a bot?

Yes. Its first message says it's an AI assistant and how to reach a person: type "human". Anything personal, like allergies, patch tests or complaints, comes straight to you.

Do you guarantee bookings?

No one honestly can. We don't promise a set number of bookings or refilled slots. What we do promise is the 30-day walk-away above.

What about GDPR?

Built for GDPR. We sign a data processing agreement with you. You stay in control of your clients' data: you're the controller, we're the processor. See our Privacy Policy.

Do you do appointment reminders?

Not in Fill. Most booking systems already send them free, so we don't charge you for them.
